Job Summary
- Serves as a key liaison between the CNO/COO and clinical staff, ensuring efficient hospital operations and supporting the overall delivery of patient care.
- Provides essential administrative support to clinical and operational departments.
- This role includes managing schedules, facilitating communication, and assisting with payroll, compliance, and hospital-wide projects.
- Provide comprehensive administrative assistance to the CNO/COO, including managing schedules, organizing meetings, and preparing reports and presentations.
- Assist with daily operations across clinical departments, ensuring smooth coordination of tasks and supporting hospital-wide initiatives.
- Collect and process time and attendance data for clinical staff, ensuring accuracy and compliance with payroll policies.
- Maintain and update clinical staff schedules, track leave requests, and manage changes in real-time.
- Serve as a point of contact between the CNO/COO, clinical staff, and other hospital departments, facilitating effective communication and problem-solving.
- Ensure all clinical staff certifications, licenses, and required training are up-to-date; assist with audits and regulatory compliance tasks.
- Assist in coordinating special projects, including quality improvement initiatives and compliance with CMS and LDH regulations.
- Maintain confidential personnel and clinical records, ensuring accuracy and timely updates.
- Schedule, prepare, and document departmental meetings, ensuring follow-up on key actions.
- Must adhere to all hospital safety protocols and compliance standards, including those related to patient privacy, staff safety, and emergency preparedness.
- Limited traveling may be required for attending off-site meetings or training sessions.
- Occasional extended hours based on hospital needs and deadlines.
- Perform other duties as assigned.
Education and Experience
- Minimum 2 years of experience in a medical or hospital office setting.
- Clinical certification preferred (e.g., LPN, Medical Assistant, or related field).
- Knowledge of payroll processes and scheduling systems is a plus.
