Executive Assistant for Clinical Operations – Full-Time

Job Summary

  • Serves as a key liaison between the CNO/COO and clinical staff, ensuring efficient hospital operations and supporting the overall delivery of patient care.
  • Provides essential administrative support to clinical and operational departments.
  • This role includes managing schedules, facilitating communication, and assisting with payroll, compliance, and hospital-wide projects.
  • Provide comprehensive administrative assistance to the CNO/COO, including managing schedules, organizing meetings, and preparing reports and presentations.
  • Assist with daily operations across clinical departments, ensuring smooth coordination of tasks and supporting hospital-wide initiatives.
  • Collect and process time and attendance data for clinical staff, ensuring accuracy and compliance with payroll policies.
  • Maintain and update clinical staff schedules, track leave requests, and manage changes in real-time.
  • Serve as a point of contact between the CNO/COO, clinical staff, and other hospital departments, facilitating effective communication and problem-solving.
  • Ensure all clinical staff certifications, licenses, and required training are up-to-date; assist with audits and regulatory compliance tasks.
  • Assist in coordinating special projects, including quality improvement initiatives and compliance with CMS and LDH regulations.
  • Maintain confidential personnel and clinical records, ensuring accuracy and timely updates.
  • Schedule, prepare, and document departmental meetings, ensuring follow-up on key actions.
  • Must adhere to all hospital safety protocols and compliance standards, including those related to patient privacy, staff safety, and emergency preparedness.
  • Limited traveling may be required for attending off-site meetings or training sessions.
  • Occasional extended hours based on hospital needs and deadlines.
  • Perform other duties as assigned.

Education and Experience

  • Minimum 2 years of experience in a medical or hospital office setting.
  • Clinical certification preferred (e.g., LPN, Medical Assistant, or related field).
  • Knowledge of payroll processes and scheduling systems is a plus.

  • Ability to work under pressure, manage multiple priorities, and adapt to shifting demands in a healthcare environment.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with hospital management or electronic medical record systems.
  • Must maintain strict confidentiality when handling sensitive personnel and patient information.

  • Shift: M-F 8:00 – 4:30 PM
